Refunds and cancellations

Eligibility

Refunds depend on how far the engagement has progressed and whether the cancellation is initiated by the client or by Flow Latticehub. Informal website inquiries with no signed engagement letter and no payment are not purchases and need no refund.

Timeframe to request

Refund requests should be emailed to info@flow-latticehub.click within 14 days of the event that triggers the request (cancellation confirmation, missed session, or disputed charge), unless the engagement letter sets a different window.

Project consultations (reviews and board packs)

If you cancel before we begin extract review, we refund payments received minus a THB 3,000 administration fee. After extract review begins but before the preview boards are delivered, a partial refund of 50% of fees paid applies. After preview boards are delivered, fees for work completed are non-refundable; unused remaining balance for undelivered stages may be refunded at our discretion.

Monthly reporting retainers

Retainers renew monthly. Cancel with at least 14 days’ notice before the next billing date. The current month already invoiced is non-refundable once reporting work for that month has started. Unused prepaid months beyond the current cycle are refundable.

Briefing sessions

Reschedule free of charge with at least 5 business days’ notice. Cancellations inside 5 business days forfeit 50% of the session fee. No-shows forfeit the full session fee. If Flow Latticehub cancels, you may reschedule or receive a full refund of the session fee.

Deposits

Project deposits secure the kickoff date. Deposits are credited toward the final fee. They follow the same partial-refund rules as project consultations above when you cancel.

Work already started and materials

Time spent cleaning extracts, drafting boards, and preparing facilitation materials is billable work. Printed materials prepared for a session that you cancel late are non-refundable if already produced.

Refund method and processing time

Approved refunds return to the original payment method where possible, or by bank transfer to the paying entity. Processing typically takes 10–15 business days after approval.

Exceptions

If Flow Latticehub cannot complete an engagement for reasons within our control, you receive a full refund of unused fees. Force majeure events may lead to rescheduling rather than refund when both parties agree.
